Who we are
Squirrels Nursery Ltd ("we", "us", "our") is a registered childcare provider operating across settings in Waterlooville and Gosport. We are the data controller for personal information processed in connection with our nursery services.
What personal data we collect
Children
- Full name, date of birth, home address
- Emergency contact names and phone numbers
- Medical information, dietary needs, allergies, and any disabilities or special educational needs
- Photographs and video recordings taken during nursery activities
- Learning observations, assessments, and development records
- Attendance records
- Accident, incident, and safeguarding records where relevant
Parents & Carers
- Contact details (name, address, phone number, email)
- Registration forms and consents
- Payment and invoicing information
- Telephone call recordings - we record inbound and outbound calls; callers are notified by a pre-recorded message before the call begins
Staff & Job Applicants
- Identity and contact details
- Employment history, qualifications, and references
- Enhanced DBS check results and criminal records (non-protected convictions/cautions)
- Health and fitness to work information
- Attendance, hours, conduct, and performance records
CCTV
- Operated at our premises for security purposes
- Images may be captured of staff, children, parents, and visitors
- Footage is used for crime prevention and detection
Why we collect and use your data
To deliver high-quality Early Years Foundation Stage (EYFS) care, track children's development, and tailor our approach to each child's individual needs.
We have a legal duty to safeguard the welfare of children in our care. This includes identifying concerns, making referrals to the appropriate authorities, and maintaining safeguarding records.
To issue invoices, process payments, administer funded places, and pursue outstanding fees if necessary.
To meet our obligations under the EYFS statutory framework, and to cooperate with Ofsted inspections and local authority requirements.
To vet, employ, and manage staff safely and in accordance with safer recruitment requirements.
To protect children, staff, and property through CCTV monitoring and call recording.
Third-party systems & data processors
We use the following third-party services to help us deliver our services. Each is contracted to process data only on our instructions and in accordance with data protection law.
Our primary nursery management platform. Used for invoicing, learning journals, attendance tracking, incident logging, staff hours, parent messaging, and daily activity logs. Parents are given secure login access to view their own child's records only. When a child leaves, their Famly account is closed and parents receive a PDF copy of their child's learning journal. Data is then removed from the platform.
Used at some settings to record Early Years learning journeys, including observations, photos, and developmental milestones. Parents can access their child's portfolio through a secure parent account.
Our HR and employment law support provider. WorkNest processes staff and HR-related data on our behalf, including support with employment matters, HR documentation, and compliance. Data processed by WorkNest is limited to staff information only.

How long we keep your data
Photographs & recordings
We only take photographs and videos of children on nursery-owned, password-protected devices. Personal mobile phones are not used to photograph children.
Written parental consent is obtained separately for each of the following uses:
- Learning journals (Famly or Tapestry)
- Display within the nursery setting
- Website and promotional materials
- Social media
- CCTV monitoring
You may withdraw consent for any of these uses at any time by speaking to your setting manager.
Your rights
Under UK GDPR, you have the following rights in relation to your personal data:
You can request a copy of the personal data we hold about you or your child.
You can ask us to correct inaccurate or incomplete data.
In certain circumstances, you can request that we delete your data. Note that some data must be retained to meet legal obligations.
You can ask us to limit how we use your data in certain situations.
You can object to processing based on our legitimate interests.
You have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk (opens in a new tab) or by calling 0303 123 1113.
